Duties of Quality Assurance Unit Committees.

 Duties and authorities of the Committee of Educational Programs and Courses

1- Revising the current mission, vision and objectives of the program to suggest any possible modifications in the light of the current changes in the program, and present them to the Faculty Council for amendment and approval.

2- Ensuring that the faculty adopts academic standards for its educational programs according to the recognized national standards, and takes the necessary measures to achieve them in accordance with the faculty’s vision and mission.

3- Formulating and updating programs' and courses' descriptions in accordance with the National Academic Reference Standards in a way that ensures providing graduates with the specifications and skills necessary for the labour market.

4- following up the preparation and documentation of the annual reports of educational programs and courses, collecting them from the departments, and making sure they were written in accordance with the official forms of the National Authority of Quality Assurance, guaranteeing monitoring performance and implementing the executing plan of the previous academic year.

5- Assuming the role of a guide and consultant:

6- Making certain that each educational program (department) identifies and implements its academic standards in accordance with the vision and mission of the faculty.

7- To make sure that each educational program contains a file for each course (course file) that includes:

·         Course description

·         A sample of previous test papers

·         Student course evaluation made by students

·         The percentage of successful, failed, and dropout students

·         Any other relative information

8- Monitoring the present situation of undergraduates’ courses to recognize their issues and propose the appropriate strategies to discuss and improve them through:

·         Organizing and identifying the percentages of different courses in each program.

·         visualizing the development  of the faculty regulations for implementing the credit hours system

·         Adding or cancelling courses with the aid of professors from other faculties, taking the views of faculty staff and students are into consideration.

·         Establishing mechanisms for the system of self-learning (a sample from students’ work as well as a list of the fields and sources of self-leaning in the faculty.

·           Encouraging e-learning, in which some courses are converted into electronic courses in different programs. ( samples and statistics)

·         Providing students with the skills needed for the labour market and the contemporary changes.

·         Establishing mechanisms for the activation of the field-training program for students (mechanisms for supervision, monitoring, and evaluation) and the participation of community parties in evaluating and surveying students.

7- Revising the scientific contents of courses and suggesting mechanisms for developing them as well as determining the extent to which they coincide with intended learning objectives of the program, teaching methods, and assessment with the help of the reports of other committees which are related to the matrix of the program.

8- Preparing the internal regulation, course files, a list of teaching methods, a list of books and references, and a list of documents for programs.

9-Preparing the teaching and learning strategies, and program objectives regularly in accordance with the vision and mission of the faculty for accreditation them by the faculty board.

10-Periodical assessment of programs and courses (through surveying students, faculty staff and beneficiaries, and through the reports of external evaluators and third parties, as well as the analysis of test results) to determine the extent of their convenience regarding the development of the field of specialty and the needs of the labor market to take the necessary corrective actions.

11-Recommending the nomination of external auditors or third parties to review courses and programs.

12-Making the faculty staff aware of the academic standards (workshops, seminars, meetings, open discussions, etc.)

13-Making a database of educational programs.

Duties and specializations of the committee of Planning and Performance Evaluation:

·         Designing the strategic plan

·         Measuring the added value and deviation from the plan

·         Annual monitoring of feedback incorporation.

·         Monitoring the improvement plans

·         Designing and analyzing necessary forms for planning processes.

Duties and specializations of the committee of Internal Audit and Preparation:

1.      Performing corporate assessments with the aid of evidences and forms (university Quality Assurance Centre) periodically according to the agreed performance indicators.

2.      Preparing monthly, annual, and semi-annual reports.

3.      Evaluating the corporation plans and follow-up plans.

4.      Preparing self-study reports.

5.      Preparing annual reports.

6.      Developing performance quality assurance and continuous development related recommendations according to the works of other committees such as developing plans and regulations.

7.      Preparing and collecting the components of the application for the accreditation file with the aid of the rest of the committees. If the corporation is already accredited, the committee prepared the annual follow-up report as a requirement for retaining the accreditation.

Duties and specializations of the Committee of Student Assessment:

1-The development of student assessment measures to achieve the intended goals, ensuring fairness and equal opportunities through examining and monitoring the application of known quality standards:

o   Location-related specifications.

o   Questions types

o   Model answers

o   Marking system

o   Document storage system

o   The convenience of examination schedule

o   Announcing results

o   Handling student grievances.

2-The preparation of the examination paper standards in different courses, and noting them down to monitor the extent to which these standards were implemented.

3-The continuous evaluation of examination papers and answer sheets by the end of each semester, and the preparation of reports discussing their pros and cons as well as working plans to enhance the strengths and avoid the weaknesses through:

o   The formation of committees to examine the extent to which examination papers cover learning objectives.

o   Reviewing the extent to which questions were related to the intended leaning objectives.

o   Grading examination papers and determining the duration of exams.

4-Reviewing samples from answer sheets to examine marking and evaluating

5-Establishing the criteria for oral exams and activating questions banks and double committees.

6-Evaluating students’ achievements through making a holistic statistic of results and comparing them to the previous three years.

7-Preparing a declared and accredited mechanism for taking in students’ complaints and examining their grievances along with their suggestions.

8-Using an electronic system to manage students’ results and other statistics.

9-Developing the vision of the faculty regarding the clemency system

10-Monitoring students’ level in different programs and courses through reviewing the reasons for their challenges as well as progress, and preparing a plan to foster both the distinguished and the challenged.

11-Periodical follow-up of the application of assessment measures.

12-Making questionnaires and meetings with students to learn about their views regarding tests and assessment measures.

13-Preparing annual reports about teaching methods and the examination system, and proposing them to the faculty board along with the committee’s recommendations to attain its goals.

Duties and specializations of the Committee of Training and Social Responsibility

1.      Raising awareness about the duties of the unit in internal and external communities

2.      Achieving social content regarding graduates’ specifications, and the objectives and functions of the corporation.

3.      Identifying training needs

4.      Supervising the process of printing and releasing the brochures and issues of the unit and the corporation as a whole.

5.      Releasing and printing the components of the accreditation file along with everything that represents the corporation.

6.      Contacting external parties to support and activate the situation of the corporation

7.      Contacting the graduates’ follow-up office to take part in the evaluation of the monitoring process, graduates’ satisfaction – especially expatriates.

8.      Raising awareness of the role of the committee of academic research integrity in the corporation in the light of the ethical terms of the university. 

9.      Spreading the values which support the work system and identifying the mutual values which need to be adopted in the strategic plan to activate the corporation’s policies in accordance with its mission and vision.
